The Swiss Morbid Obesity Study Group is honoured to host the 4th congress of the European chapter of the International federation for the Surgery of Obesity and metabolic disorders (IFSO-EC), to be held in Lausanne April 22-24 2010.

Bariatric surgery is increasingly recognized as the only effective therapy for morbid obesity, and the number of yearly bariatric procedures performed worldwide is growing exponentially. You, as the industry and manufacturers of many of the devices we implant or use for our procedures, are a major part of these late developments, especially in the field of laparoscopic, and more recently, endoscopic bariatric surgery. Working together has helped us all to develop new methods and technologies. Pursuing this collaboration is essential for our patients.

In this congress, we will try to put up a very exciting scientific program including all the latest developments in the bariatric field. We certainly hope that the industry will come to Lausanne with an interesting industrial exhibition and all the latest innovations.

Depending on how much they contribute to the congress, sponsors will be categorized as platinum, gold, silver and bronze sponsors. Apart from the individual options for sponsors to participate in the congress and support us in one way or another, we are open to discuss packages with individual companies who want to participate in more than one single way. Also, we are open to discuss any other form of participation that may not be mentioned in the next section.

Exhibition booth

 

 

The industrial exhibition will be located in room 550 “Montreal”, which is located on the main floor, next to the main conference room. The exhibition room is a large hall which can provide enough space for both booths and circulation. Space will be provided for all companies who want to set up an exhibition booth. The exhibition hall will house coffee breaks and lunches, which should ensure a good flow of delegates through the exhibition and enable optimal contacts between industry representatives and congress participants.

The cost for exhibition booths will naturally depend on the size of the both, and may vary between 3’000 SF and 30’000 SF (count 1000 SF / square meter). 

Pre-fitted booths will be available at a price between 700 and 1000 SF depending on their setting. For 1000 SF, a pre-fitted booth will include a 9 square meter pre-equipped stand with white walls, one or two openings, carpet on the floor, three spotlights, stand identification, a waste paper basket, electricity supply and consumption. A list of additional items to be rented to complete the setup of a stand (pre-fitted or not) can be obtained from the congress senter (uschi.koch@beaulieusa.ch).

Space will be assigned according to request wherever possible, and we will make all possible efforts to satisfy everybody, especially with the location of booths. Exhibitors who want a specific area for their booth, or who want to avoid being neighbors with a specific competitor, are requested to indicate so on the application form. All requests will be considered carefully, but we cannot guarantee acceptance of all of them. We may be forced to relocate booths for the overall benefit of the exhibition and congress. The individual company will always be contacted directly, however, if their specific request cannot be granted.

 

 

Internet corner

 

 

An internet corner will be set up in the lounge between the main conference room and the industrial exhibition hall. As one of the most visited area of the congress, it will offer several personal computers with internet and e-mail access. Acknowledgement of sponsorship for the internet corner will be posted in the internet corner area, as well as on the final program. The price for 4 PC in the internet corner will be 15'000 SF.

 

Advertising on the website

 

 

Companies can advertise on the homepage of the congress website with their logo and a link to the company’s home page. This option, however, will be reserved for major sponsors whose participation amounts to at least 50'000 swiss francs and who agree to make a down payment of at least 10'000 swiss francs before May 31st 2009.

The logo of all the sponsoring companies will be posted on the congress website at the beginning of the sponsor page, under the proper sponsor category, but without a link to the company’s homepage.

 

 

Advertising on the pre-program

 

 

Companies can advertise on the pre-program, which will be printed in April-May 2009, and contains all the informations necessary for the congress. It will consist of a A5 booklet and should print with 1500 copies. The price for advertising on the pre-program depends on the location of the add:

Advertising on the final program

 

 

Companies can advertise on the final program, which will be printed shortly before the congress with approximately 600 copies. The price for advertising in the final program will depend on the location of the add:

Congress bags

 

 

A nice bag with pen and paper for notes will be distributed to every registered delegate. A company can sponsor these bags for the price of 10'000 SF. Additionally, the company can provide with pen and paper blocks with the company's logo, in which case these items will be included in the bag, provided they are delivered by the company no later than March 31st 2010.

 

 

Insert in congress bags

 

 

A company can place an insert in the congress bags. In this case, it will be the company's responsibility to provide the organizer with the insert no later than March 31st 2010. The price for inserting one ad in the congress bag will be 3000 SF.

 

 

Coffee breaks

 

 

A company can sponsor coffee and pastries provided during the coffee breaks (one in the morning and one in the afternoon, five breaks in total). The coffee breaks will take place within the industrial exhibition in order to facilitate contact between delegates and exhibitors. Acknowledgement of sponsorship for coffee breaks will be printed in the final program, and will be posted at all coffee points. Cost for sponsoring all coffee breaks is 20'000 SF, cost for one day is 8'000 SF.

 

 

 

Lunch

 

 

On Thursday April 22nd and Friday April 23rd, lunch will be served to all delegates in the industrial exhibition hall, ensuring optimal contact between congress participants and exhibitors. The sponsor’s name will be displayed at all food posts. Acknowledgement of sponsorship for lunch will be printed in the final program. Cost for sponsoring one lunch is 25’000 SF. The company can provide with napkins printed with the company’s name and logo.

 

 

Welcome reception

 

 

A company can sponsor the cocktail party after the welcome reception. The cocktail party will take place either in the industrial exhibition hall in case of rain and/or cold weather, or outside in the garden if the weather is nice and warm enough. Acknowledgement of sponsorship for the welcome reception will be printed in the final program, and posted at every food point during the reception. Cost for sponsoring the welcome reception is 20’000 SF. The company can provide with napkins printed with the company’s logo and name.

 

 

Symposium

 

 

A company can sponsor a symposium dedicated to a specific subject. The program of such a symposium must be approved by the scientific committee.

Cost for sponsoring a symposium can vary considerably depending on the duration of the session (between 1 and 2 hours), and depending on the number and origin of the speakers.

Symposium can be organized during the congress’ main agenda, or immediately before the congress, on Wednesday April 21st. The location of such symposium will be discussed at a later date and may be either at the congress venue or in another location in Lausanne.

 

 

Supporting a speaker

A company can support part or all travel expenses and/or accommodation for a designated speaker, the cost of which will depend on the origin of the speaker.

Payment details for sponsoring companies

 

 

Payments for sponsorship are to be made in swiss francs (SF) exclusively. At least 50 % of the convened sum should be paid by December 31st 2009. For companies advertising on the website or on the pre-program, between 20 and 40 % of the convened sum (depending on the total sum) should be paid by May 31st 2009, or as soon as the contract is signed in case this occurs at a later date. For all companies, at least 50 % of the convened sum must be paid by December 31st 2009. The rest of the payment must be done by March 15th 2010. Payments are to be made to the following account. The mention "4th IFSO-EC congress" is mandatory.

Exhibition area

 

 

The exhibition area will take place in hall 500 “Montreal” in the Palais de Beaulieu, Lausanne. This hall is situated next to the main conference room from which it is separated by a small lounge, in which the internet corner will be located. It is a large hall (836 square meters) which will host the industrial exhibition and all coffee breaks and lunches during the meeting. The address is as follows:

Set up and dismantling

 

 

Set up of the exhibition booths can be done on Wednesday April 21st between 1.00 pm and 8.00 pm, or on Thurday April 22nd from 7.00 am to 10.00 am. Dismantling will take place on Saturday April 24th between 11.00 pm and 6.00 pm.

Power supply and lighting

 

 

Each booth will be provided with one 200 Volts       Watts power line included in the fees. Exhibitors who need additional power lines or special connections (higher voltage, internet) should make arrangements at additional costs with the organizer.

 

Delivery

 

 

Truck delivery of the material for exhibitions booths can be done to the congress venue on Wednesday Aprils 21st between 1.00 pm and 6.00 pm. No delivery can be accepted before this time. For special arrangements, please contact the organizers

 

Surveillance

 

 

No surveillance service will be provided. We recommend the exhibitors not to leave their stands unattended during set up and dismantling, and not to leave any valuable object on their booths when the exhibition is closed. The organizers decline all responsibility for any theft, loss or damage in the exhibition area, and recommend that the exhibitors respect strictly the opening hours, protect their equipment, and insure their total value.

 

 

Insurance

 

 

All exhibiting companies are expected to arrange for coverage of their goods against theft, fire, water damage, or any other damage, with the insurance company of their choice. The organizers are not responsible for any damage that may occur to the equipment or personnel before, during or after the congress.

 

Security and safety

 

 

All exhibiting companies are expected to provide their booth with at least one fire extinguisher and earth properly their metallic structures. No radiation and no demonstration with fire hazard will be accepted.

Attaching panels, posters, or any other item to the hall walls or floor is strictly forbidden.

A plan of each booth must be submitted to the organizer by April 10th 2010 at the latest.

 

Request for additional services

 

 

The Palais de Beaulieu can provide aditional furniture or decorative features (tables, chairs, plants, technical equipment) for the exhibition booths. Companies wishing additional services, at additional costs, are required to contact the organizer before April 10th 2010:

Cleaning

 

 

Cleaning of the exhibition area is included in the rental fees.

 

 

Other rules and regulations

 

 

The contract including the details of all sponsoring activities of the company and all regulations for sponsorship must be signed and returned to the organizers by March 15th 2010 at the latest, but ideally as soon as decisions and arrangements regarding activities and fees between the two parties are finalized.

 

Registration for exhibiting companies will include

10 persons for platinum sponsors (at least 70'000 SF)

6 persons for gold sponsors (at least 45'000 SF)

4 persons for silver sponsors (at least 20'000 SF)

2 persons for bronze sponsors (< 20'000 SF)

 

Additional representatives from exhibiting or other sponsoring companies can be registered at the cost of 250 SF / person.

Registered representatives from the exhibiting companies will receive a badge (green) which will allow them into the exhibiting area, including coffee breaks and lunches, and welcome reception, but not into the scientific sessions.
